If there are any questions regarding temporary employment, contact Trudy Kenny at (509) 335-2820 or kennyt@wsu.edu. Do not promise an employee work or have them start work until you have received final authorization from the Business & Finance Office (BFO). There are NO exceptions to this policy.

The temporary employee must turn in the Temporary Employment application, W-4 and I-9 by the first day of employment. An I-9, Employment Eligibility Verification Form with 2 copies of identification, must be completed and received by the BFO within 72 hours of employment or employment must be terminated immediately. Significant fines up to $10,000 can be assigned to you for failure to comply.

PLEASE NOTE - Non-student temporary employees may NOT exceed 1,050 hours in any 12 consecutive month period from the original date of hire, in accordance with WAC 251-04-040.

Paperwork processed prior to the 10th of each month should ensure the employee receiving a first check the 10th of the following month. Please be careful to make sure employees understand the delay with the first check.

If an employee is to continue working beyond the specified end date, the supervisor must contact Trudy Kenny concerning an extension of appointment. A "Conditions for Temporary Employment" form must be completed for an extension.

A master copy of the Daily Activity Report for reporting hours worked will be provided with the hire letter. Please have employee use one Activity Report per pay period. Pay periods are the 1st - 15th and 16th to the end of each month. The DAR must be legible and signed by employee and supervisor (no signature stamps allowed). FAX in hours on the 15th and last working day of the month to Trudy Kenny at (509) 335-2926. Mail in the original to BFO.

If there are any changes made affecting temporary employment, a new Conditions for Temporary Employment must be completed and signed. EXTENDING A GRANT DOES NOT AUTOMATICALLY EXTEND THE EMPLOYEE.

All forms must be complete. Incomplete forms will be returned to the hiring office, which causes a delay in processing and results in employees not receiving paychecks.
